PMG (Building Design and Consultancy )LTD will be referred to as PMG within this document.
PMG and its employees will gather your information for the purposes of providing a quote and then, should we be appointed, subsequent drawing and consultancy work. The personal information we will gather and hold will be provided solely and directly by yourself. The personal information we will require includes name, address, phone number and email address. In addition we will require non personal information regarding your property.
PMG will need to collect your personal information in order to provide a formal quote for our architectural and consultancy services as discussed during our initial meeting/correspondence. After acceptance of this quote we will continue to use this information throughout the project as a means of contact to discuss progress, forward emails, and liaise with you.
During the process of carrying out work on your behalf, we may need to contact outside consultants and advisers. This will only happen when it is required in order to complete the work that we are being contracted to do. This will never be for the purposes of marketing, or sale of information. In addition, should your application require statutory approvals (planning permission/ building regulation etc), your information will form part of the application, and then be available for public consultation and/or local searches.
PMG operates on a legitimate interest basis when processing your personal information. As explained above, in order for us to carry for fill our contract with yourself, we may need to give information and discuss your project with outside third parties. As we may be unable to carry out your project to completion without sharing this information, we act within the confines of legitimate interest. PMG will strictly only give out identifiable personal information if it is essential and in your best interest.
If PMG provides a quote for carrying out architectural work, we will retain the information you provided indefinitely unless you request we destroy it. This is due to the fact that projects can take many years to progress from quote to design and then onto build. If we progress to design stage we will retain all information given by you and gathered from external consultants and advisers. This is for reasons of insurance and future construction queries, which may no longer be visually evident. If you wish us to destroy any information held, you may request this 6 years after completion of construction or building control sign off, whichever is the later. Please do so by contacting the Data Protection Officer.
You may request, at anytime, copies of the information held by PMG. Such requests will be handled in accordance with our legal requirements and actioned within one month. Please contact the Data Protection Officer with your request.
PMG are required by law to notify the ICO if the breach is likely to result in a risk to the rights and freedoms of individuals. If the breach will result in high risk to your rights and freedoms, we will contact you directly.
